To All:  We are dealing with this more and more. Our catalog states:

Course Revalidation Process

  1.  The process to revalidate a course which has exceeded the degree time limit and apply it towards a student’s degree is as follows:

     *   The student’s advisor must draft a memo justifying, with supporting evidence, why the course should be applied toward the degree, and the memo must be signed by the department head and dean. The supporting evidence must:

        *   Establish that the material from the course at the time it was taken is similar to what is currently being taught; and
        *   Demonstrate that the student has retained this material.

     *   The signed memo will be forwarded to the director of the Graduate School, who will submit it to the Graduate Council for review and approval.
     *   Upon approval, the memo and corresponding Graduate Council meeting minutes will be forwarded to the Registrar’s Office for processing.

  1.  This process must be completed prior to the last semester in which the student plans to graduate.
For the retention of the material, we do leave this up to each advisor, but it typically ends up being a term paper, information used in a thesis, or exam. Sometimes the retention of the material can be demonstrated by the students’ performance in a different course where the material is used.

All,

Happy Wednesday!  I’m seeking opinions on handling time limit extensions for “expired” coursework either at your institution or transferred in.  Right now, we require faculty from the appropriate department/subject area to confirm the student “demonstrated competency at a level of B or higher” AND the graduate coordinator to confirm this course is still relevant to the degree.  We have both coordinators and faculty ask how they should confirm the retained competency—exam, interview, project, work experience, etc.  I really want to leave this up to them and their expertise since our programs are all so different but they keep asking.

So, anyone have any processes which would provide guidance?
